Position Summary

Performs a variety of duties involved in the organization, arrangement, and retention of official University records, and records having continuing administrative, legal, fiscal or historical value. Responsible for organization and access of print and non-print library resources; performs original and complex copy cataloging for material in all formats and integrates electronic resources into system; maintains bibliographic records and authority control; researches new access and cataloging methods; participates in planning and implementing linkages among various access systems. Provides assistance and instruction to patrons regarding the use of the archive’s print and electronic resources. Acts as entry-level liaison for the university and the library with local and distance users, as well as unaffiliated researchers.

Essential Duties & Responsibilities

• Assist Library Director with acquisition and retrieval of University historical items through University Archives. Oversees the acquisition, appraisal, description, arrangement, and preservation of archival materials.
• Maintain and provide service for the John L. Raymond Special Collection, the Barbara A. Cooke Musical Theatre Collection, the Rare Books Collection, and any subsequent special collections the university may collect.
• Develop and execute archival-based displays in the Brown Library and other locations on campus.
• Cover essential public access areas and telephones.
• Responsible for the preparation of print and online archive collection finding aids including inventories, abstracts and folder lists.
• Coordinate with Library Director to have University Archives and other materials (e.g., books, periodicals, syllabi) cataloged and digitized when applicable.
• Assist researchers in the use of finding aids and the identification of available archival materials; respond to selected written requests for research; retrieve current and non-current records from closed stacks in accordance with policies and procedures governing access and confidentiality.
• Train library staff to provide access to archives collections and/or to retrieve information from the archives collection when Archives Librarian is not available.
• Advise outside agencies, scholars, journalists, and others concerning the history of the University; give presentations related to the school’s history and the Archive’s materials.
• Participate in and promote a culture of continuing quality improvement.
• Other duties as assigned.

• Plan, coordinate, and supervise technical services operation and staff; serve as the authority for library system decisions about cataloging, classification, acquisitions, serial control.
• Oversees classifying and cataloging of all materials, using OCLC Connexion database and local automated system and equipment.
• Responsible for identifying and resolving errors in online catalog, such as: correcting bibliographic records and maintaining uniformity of subjects and series titles.
• Train cataloging and processing staff on OCLC and library automation system cataloging, acquisitions and serial modules.
• Develop departmental procedures and bibliographic database standards.
• Respond to changes in library system materials and community needs to assure ease of access to materials by staff and public.
• Serve on the Reference Desk as part of the reference team.
• Participate as part of the collection development team
• Complete timely and thorough employee appraisals; mentors and develops direct reports.
• Attend meetings, training seminars as required.

Minimum Requirements

ALA-accredited Master’s degree in Library Science or a Master’s degree with graduate archival training and cataloging.
• Demonstrated problem-solving skills within a technological environment, ability to prioritize assignments, and an aptitude for complex, analytical work with attention to detail.
• Knowledge of emerging technologies in library technical services
• Interest in current trends and developments in archives and library technology
• Demonstrated initiative and flexibility; excellent oral, written, and interpersonal communication skills with the ability to work independently and collegially on a variety of issues in a dynamic environment.
• Ability to demonstrate flexibility and initiative in response to changing circumstances.
• 4 years’ experience with PC-based computer software, operating systems, web authoring and peripherals (scanners, printers, cameras) necessary to perform a multitude of tasks related to the library’s ILS (Voyager) and digitization system (ContentDM)
• Willingness to support the Catholic and Franciscan values of the university
• Other duties as assigned.

Preferred Requirements

• Demonstrated archival digitization work.
• 3 years of archives experience.
• Experience with copy cataloging and original cataloging.
• Excellent knowledge of print and electronic information resources.
• Ability to foster working relationships with faculty, administrators, staff, and students.
• Evidence of successful supervision and management skills
• Knowledge of and experience with web authoring software

Hours/Shift/Work Schedule

This is a full time exempt position, with a minimum expectation of 40 hours/week.
Typically, M-F, 8 a.m. – 5 p.m.
Some evenings and weekends required.
This is a 10-month position.

Physical Requirements of Position

Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This is sedentary work which requires the following physical activities: lifting and/or maneuvering stacks of library materials, sitting, walking, bending, stooping, finger dexterity, repetitive motions, talking, hearing and visual acuity.
